GRUPH titles list template for unpublished photos (free sample)
For a group of unpublished photos, the Office asks for a numbered list with the title and file name of each photo. There is no publication date column. The Office publishes a separate template for it.
Free sample: sample-gruph-titles-list.xlsx. The Office's own GRUPH template, unchanged except for five made up sample rows and the Office's example case number. Do not file it. Get a fresh copy from copyright.gov.
What goes in each column
| Column | What to enter | Example from the sample |
|---|---|---|
| Photograph Number | Already numbered in the template. | 1 |
| Title of Photograph | A title for each photo. "The title and file name of each photograph may be the same" (GRUPH tutorial). | Sample Harbor At Dawn 01 |
| File Name of Photograph | The exact file name of the photo you upload. | Sample-Harbor-At-Dawn-01.jpg |
| List of All Group Titles | Filled in by the template, titles with commas, ready to paste into eCO. | Sample Harbor At Dawn 01, |
| Missing Information | Warnings if a title or file name is missing. | (blank when complete) |
How it differs from the published template
- No month and year of publication column.
- No calendar year rule: that rule is for published groups.
- The same 750 photo limit, the same file types (JPEG, GIF or TIFF) and the same file name rule for the list (GRUPH help).
The tutorial says to "Save a copy of the list in XLS or PDF format" and to include "the name of the group and the case number in the file name for your list" (GRUPH tutorial). Build the name with our file name builder.
Whether a photo counts as unpublished is your decision. See what the Office says about publication.
Questions
Does the unpublished titles list need dates?
No. The GRUPH list asks for the title and file name of each photo. The month and year of publication column is only in the published (GRPPH) template.
Can the title be the same as the file name?
Yes. The Copyright Office GRUPH tutorial says the title and file name of each photograph may be the same.
